Running a Virtual Assistant business means managing multiple clients, coordinating schedules, organising travel, sourcing suppliers, and keeping track of dozens of tasks every day. Without the right systems, things can quickly become overwhelming. I am always looking for apps for virtual assistants that will make my life and business admin easier.

Over time, I’ve tested many productivity tools, but only a few have become essential to my daily workflow. These apps help me stay organised, communicate efficiently with clients, and ensure that no task slips through the cracks.

Here are the 5 apps for virtual assistants I use in my business every day, plus a bonus tool I recently discovered that has been a game-changer.


1. WhatsApp – The Fastest Way to Communicate with Clients

For many of my clients, WhatsApp is the easiest way to send quick requests throughout the day. Instead of writing long emails, clients often message things like:

  • “Can you find a plumber for tomorrow?”
  • “Please book a restaurant for tonight.”
  • “Can you check availability for football camp next week?”

These quick messages allow me to respond faster and get things done immediately. WhatsApp is particularly useful because it allows:

  • Instant communication
  • Voice notes for quick instructions
  • Easy sharing of photos and documents
  • Location sharing for bookings or deliveries

3. Notion – My Central Business Dashboard

Notion acts as my digital control centre. It’s where I store information, organise projects, and keep track of ongoing tasks. For each client, I maintain a workspace that includes:

  • Important dates
  • Notes and instructions
  • Travel research
  • Supplier information

The flexibility of Notion is what makes it so powerful. It allows you to build databases, task boards, checklists, and dashboards all within one platform. For a Virtual Assistant managing several clients simultaneously, having a central system like this is invaluable.


4. Google Drive – Secure File Organisation

Handling documents is a big part of my work. Whether it’s travel itineraries, booking confirmations, contracts, or research files, everything needs to be organised and easy to access. Google Drive allows me to structure files in a clear system.

Typically, I organise folders by:

  • Travel projects
  • Contracts and invoices
  • Research and supplier documents

The ability to share files instantly with clients also makes collaboration much easier. Another advantage is accessibility — I can access everything from my phone, laptop, or tablet wherever I am.


5. Dubsado – CRM and Invoicing

Dubsado is the system I use to manage the business side of my virtual assistant business. It acts as both a CRM (Customer Relationship Management system) and an invoicing platform.

With Dubsado, I can:

Bonus App: Coflowd – Turning Messages into Tasks

One of the biggest challenges for anyone working with clients is keeping track of all the small requests that arrive throughout the day. Recently, I discovered Coflowd, and it has quickly become one of the most useful tools in my workflow.

Coflowd allows you to turn WhatsApp messages or emails into tasks instantly. This means that whenever a client sends a request, I can convert it directly into a task that I can track and tick off later.

Why this is so helpful:
